Request for offers

Offer title: Maintenance Services (as per below categories 1-6)

UNESCO Ramallah office will require the services of a registered company or awarded to several different companies with expertise in each area. Each bid must clearly indicate the number or numbers of the services which can be one or multiple bids .

Electrical Maintenance and Repairs 

Monthly Checking of all the electrical system which includes cleaning of all panel junctions ,Power Distribution board ,tightening of all connections ,heating boilers, Electric gates and intercom system to ensure they are free from external damage as per maintenance check list with Focal Point.
Adjust the external lights twice a year (summer time and wintertime).
Replacement and installation of boilers or other equipment if necessary)

Any Call outs in case of repairs outside of the regular maintenance schedule

Plumbing Works

Drainage: The drainage work includes cleaning of manholes, rain water drainages and rooftop rain water drainage. The contractor will be responsible for taking out the debris and cleaning of ground manholes, connection pipes & rain water drainages and to clear all the blockages
Seasonal ( twice a year ) Roof tanks and underground water tanks cleaning and testing of water quality of the Office Buildings.
Monthly Checking and tightening of taps, water connections and plumbing pipes, septic tank, including unblocking of toilets, Wash basin/Sink leakage repair, Tap repair & replacement,
Soil, Waste and Rainwater drainage pipe lines, Sewer pipes, Flush, repair of leakages from pipe both internal and external, Surface and rooftop drains

Air- Conditioning  Preventive Maintenance and Repairs

Maintenance of 18 Air Conditioning units (split type with external condenser unit):
Every two months checking for functionality
Cleaning of filters to remove dust every two months Re-gazing when needed b

Networking Maintenance and Repairs

Generator servicing, as per use or at least once a year or after 100 hours (generator logbook to be attached) as well as items replaced.
Periodic checks on the wiring for the UPS, Generator, checking of motor oil, air filer, fuel filter, battery, battery charger, timing belt, voltage regulator and fuel line. The generator must be run for at least 15 minutes each month.
A log is to be kept of all generator servicing conducted, with dates and mileage and running hours recorded.

Security Maintenance and Repairs

Replacing damaged/faulty CCTV wires for  camera’s.
Checking and replacing damaged fire alarm and smoke detectors.
Security gate barriers repairs.

Log smith , Carpentry, painting  and Miscellanies Maintenance and Repairs

Repair of desk, chair, windows/door disorder, doorframe, Changing door locks,
 
Assembly or movement of office equipment and furniture
Changing door Locks.

Frequency of service

Where there are no unforeseen repairs, a minimum of one-site visit each month s to be conducted in conjunction with the Focal Point, and documented via checklist signed and dated by both parties.

The company will be required to respond to separate call-outs, for required repairs or installations covered under these terms of reference. As these are often as a result of an emergency, UNESCO will ensure that these are within reasonable accommodation and the supplier commits to responding within 24 hours.(If the request is not answered on time, UNESCO has the right to terminate the contract

Reporting

Monthly checklist to be shared with the selected supplier and completed each time a visit is done for the month.

Submit a monthly (or each two month as applicable )summary report of all repairs, activities and recommendations by the 5th of each month. Any invoice certified by UNESCO Focal Point for consumables used within that month is to be attached and should correspond to the checklist and summary report.

Supplier to provide quotation for UNESCO FP to procure items and consumables when they exceed 1,000 ILS .

and received at UNESCO office, by the deadline date and time. They MUST include the following:

Formal offer proposal on letterhead with clearly indicated monthly fee offered valid till the expiry of this offer on February 2020, (Offer in in New Israeli Shekels NIS, VAT exclusive)
Each proposal must be dated, signed and stamped, on letterhead and attached to a copy of this offer (which must show the stamp and signature of the supplier on each page as acknowledgement of the terms of offer) and include the following certification -  
“All the services requested under the terms of this offer will be provided and the company holds a bank account in the same name as indicated on the letterhead”.
Full company profile detailing services offered (max 2 pages) including copy of Company Registration
References of similar work carried out (minimum 3)
CVs of specialist technicians available to carry out the work indicated on the offer (2 pages maximum)
In addition to the above, the proposal of offers and the rest of the requested documents must be sent via email as a pdf document.
