Subject: Prequalified Suppliers for Travel Agency Services

We are looking for a reliable agency to provide us with Travel Services-Flight and Hotel Accommodation quotations for 2025-2026. We kindly request that you submit your proposals to us no later than Thursday, May 1st ,2025. As such, we would like to provide you with the following background and requirements:

Objective:

The main objective of prequalification is to maintain a register of travel agencies for the provision of travel services to REFORM when required through quotations for 2025- 2026.

Scope of Work:

 The Travel Agent will perform the following travel tasks for REFORM:

● Provide flight bookings and issuance of air tickets.

● Organize airport transfers.

● Organize ground transfers.

● Procure hotel accommodation and conference facilities for the Federation.

● Provide fast and competitive visa services when necessary.

● Provide travel information, advisories, etc.

Needed Requirements:

● The agency may be local or regional.

● Registered travel agencies with relevant licenses and certifications.

● Proven experience (at least 5 years) in the travel industry should be mentioned in the company profile.

● Comprehensive company profile detailing, focus person and organizations served in the past three (3) years with contact details for at least three of the organizations. Bidders may also provide letters of recommendation from at least two of their past/present clients.

● Source of Deduction must be delivered.

● The ability to prepare tax invoices.

Additional Information:

● REFORM intends to invite proposals from eligible firms for the provision of air ticketing and travel consultancy services for the Federation for the period 2025- 2026.

● The eligible bidders will be placed on REFORMS Suppliers list to provide travel services to REFORM when required.

● Applicants will be informed, in due course, of the result of the evaluation of their applications. Only firms prequalified under this process will be regularly invited for submission of financial bids/quotations as and when required.

● Work efficiently within tight time frames.

● Follow up with the contact person from REFORM.

● Please include contact details of a representative for ongoing communication and support.

● Provide emergency assistance and support during the retreat.

● Payment will be processed within one month after the trip.

● Health insurance and personal safety measures.

● Entry and visa requirements.

● Provide detailed quotations for flights and hotel accommodation. All Inclusive.
