Job title : Administrative Assistant
Purpose :To assist Resident Manager in administrative issues. As well as manage day to day running of local office.
Responsible to : NORWAC Resident Manager
Location :Gaza
Post :Part-Time with possibility of expansion to Full-TIme
Period :July 1st – December 31st, 2015

NORWAC has worked with the Palestinian Ministry of Health (MoH) since 1994 to develop their public health institutions and strengthening local educational institutions. Through its work, NORWAC has established a long-term cooperation with the MoH and healthcare providers to promote predictability, ensure mutual trust and create lasting results.
Job description
Job title:     Administrative Assistant
Start date:     1 July 2015
Location:    Gaza
Duties/assignments
The list of tasks shown below include main responsibilities but are by no means exhaustive.

Main Tasks
-Ensure the supply of input material conditions for the Project Office such as stationery, electricity, water, transportation (if any);
-Arrange storage and systematize project document
-Provides administrative and clerical support to the process of preparation and drafting of project ideas, work plans, budgets, revisions, progress reports and summaries.
-In charge of meeting minutes during all staff and external meetings.
-Maintains all proper filing system. 
-Assists in the preparation of documents for use in the formulation of the work plans, progress reports, and periodic reviews
-Assists in scheduling of meetings and maintaining contain with project key players.
-Collects, assesses and analyses information related to the project.
-Maintains records on the general political situation of Gaza and developments of relevance to the projects.
-Assistance in the organization of workshops and training activities
-Assists in the preparation and logistics for visiting expats and missions through liaison with local authorities
-Makes travel and hotel reservations, prepares travel orders and assembles information pertinent to the purpose of travel.
-Insures all follow-ups are done in a timely and organized manner as assigned by Resident Manager.
-Participate in other activities as assigned by the project leader.
-Manage petty cash and expense account
-Prepare monthly expense overviews for resident manager
-Contribute to online stories describing NORWAC projects in Gaza for NORWAC website
-Contribute to representing NORWAC in NGO network meetings

In periods when the Resident Manager is not present in Gaza
-Act as security focal point when missions and expats are in Gaza
-Maintain daily management and operations of NORWAC office
-Act as contact point for partners and authorities, passing on urgent and critical issues to Resident manager, but able to provide support and advice to partners on some issues

Qualifications
-Bachelors degree in management, international development or related field
-Minimum of 2 years of office management and petty cash management experience preferred.
-Experience in dealing with ministries.
-Demonstrated ability to adapt and work effectively in dynamic and demanding operational environment.
-Proven skills in facilitation, team building and coordination
-Excellent interpersonal skills; ability to work effectively and in a collegial fashion with people from a wide range of backgrounds and cultures.
-Excellent presentation skills and verbal and written communication skills
-Computer proficient, especially in MS Office required.
-Fluent in English and Arabic is required.
