HEKS/EPER employs around 600 full-time staff members. HEKS/EPER is active in 25 locations in Switzerland and 30 countries worldwide, running more than 380 programmes and projects with a total volume of 138 million Swiss francs. Within the framework of Agenda 2030, the organisation focuses on four priority themes: "Climate Justice," "Right to Land and Food," "Asylum and Migration," and "Inclusion." HEKS/EPER also provides humanitarian aid to victims of natural disasters and armed conflicts, aiming to bring about change at the social, economic, and political levels. HEKS contributes to improving the living conditions of people both domestically and internationally, advocating for their rights. It raises awareness and mobilises society, politics, business, and churches. In 2023, around 16 million people benefited from the work of HEKS/EPER.
For our office in Jerusalem, we are looking with immediate effect for a:

Your main responsibilities:
Finance:
- Payment Preparation:receive and collect supporting documents to Prepare payments for bookkeeping for HEKS/Office and projects, following HEKS/EPER policy guidelines under the supervision of the Admin Finance HR Manager.
- Bank Reconciliation: Perform monthly bank reconciliations to ensure accuracy in financial records. Follow-up onreceipts, payment requests, invoices, contracts, procurement docs, waivers, tax
- Transfers & Payments: Process transfers and payments to the bank, ensuring all transactions are executed correctly.
- Petty Cash Management: Manage petty cash at the HEKS Office, ensuring it is properly registered, filed, and in accordance with HEKS/EPER procedures.
- Financial Data Organization: Organize and maintain accurate records of financial transactions, including payments and receipts related to office costs.
- Document Compilation & Compliance: Compile financial documents, verify their accuracy, and ensure compliance with established policies.
- Partner Payment Follow-ups: Support the Admin Finance Officer in following up with partner payments and assisting with field visits and report reviews.
- Office Maintenance: Ensure the smooth operation of office maintenance and services, providing a functional work environment.
- Asset Management: Assign equipment to new staff and ensure proper handover of assets from departing staff. Maintain detailed records of office assets.
- Vehicle Management: Oversee the maintenance and operation of office vehicles, ensuring cleanliness, proper insurance, licensing, and related matters are handled through service provider contracts.
- Procurement & Policy Compliance: Ensure office purchases and services comply with HEKS/EPER policies and procedures under the guidance of the Admin Finance HR Manager.
- Logistics & Administrative Support: Provide administrative and logistical support for program activities, including transport, accommodation bookings, and visa arrangements for HQ delegations.
- Meeting Documentation: Record and document key meetings, activities, and discussions related to HEKS/EPER, sharing the information with relevant stakeholders.
- Visa & Permit Management: Ensure timely processing and issuance of visas and permits for HEKS/EPER staff and partners.
- Contact Management: Keep an up-to-date contact list of offices, staff, suppliers and share this regularly with the team.
- P.O. Box & Contact Details: Manage the office P.O. Box and regularly update contact details for partners and staff.
- Event & Visit Coordination: Assist with organizing and coordinating consultants' and partners' visits, training sessions, and meetings.
- HR Administration: Maintain HR staff files, contracts, and timesheets, slips and leaves balances; ensuring HR documentation is up-to-date and compliant with HEKS/EPER policies.
- HR Support: Assist the Admin Finance HR Manager in HR-related tasks, including recruitment, onboarding, and other administrative HR functions. Act asPSEAH/Gender policies focal point as needed
- Additional Duties: Perform any other duties and tasks that may arise and are not specifically covered in this job description, as needed.
- Flexibility & Teamwork: Be flexible and ready to provide support in other areas when necessary, promoting team collaboration and adaptability.

To be successful you bring:
Educational Background:
- Diploma or BA degree in Accounting, Finance, Business Administration, or a similar field.
- At least 3 years of experience in a finance function, preferably within the NGO or INGO sector. Strong background in bookkeeping, budgeting, forecasting, and financial reporting is essential.
- Excellent analytical, organizational, and planning skills.
- Proficiency in IT, particularly MS Excel and accounting software.
- Strong written and spoken English skills; proficiency in Arabic and Hebrew is required.
- A valid driving license with the potential flexibility (subject to the security situation) to conduct periodic monitoring trips to Gaza, the West Bank, and Jerusalem.
- Diligence and attention to detail.
- Efficiency and professionalism, with the ability to work under pressure and meet tight deadlines.
- A solution-oriented approach, with the ability to thrive in complex environments and as a team player.
