Administrative and Finance Assistant
For a period of 12 months with possibility of extension
General Objective:
The overall responsibility for the Administrative and Finance Assistant is to contribute the day-to-day implementation of the Administrative and Financial department deliverables, including, registration of financial transactions, review the agreements, proper archiving, and general office organization.
Key Activities:
Objective 1. General Office Organization
- Answers incoming telephone calls and gives information to callers, takes messages, or transfer calls to appropriate individuals.
- Register and distribute internally incoming correspondence.
- Administrative support to conferences and workshops.
- Tracking of external letters and any other tracking sheets.
Objective 2. Archiving:
- Monthly archiving for Hebron base financial transactions according to the archiving system.
- Prepare all archiving for project closings in collaboration with technical and project staff and Admin Manager.
- Follow up the of archiving inventory in Hebron base and movement to Capital.
- Prepare a yearly Destruction Report sheet on Retention and Destruction.
- Prepare donor report’s supporting documents upon Admin Manager instructions.
Objective 3. Support the Financial Management of the Base:
- Assist in daily data entry on accounting system- AGRESSO.
- Ensure that supporting documents for financial payments include verification of payment with the relevant signatories.
- Guarantee timely cash payment after the reception and verification of all related supporting documents.
- Assist in preparing cheques after the reception and verification of all related supporting documents.
- Ensuring planning for bank visits to send the bank transfers to the bank when needed and making sure to have copies of all bank transfers (hard and soft copy).
Objective 4. Other Duties:
- Assist in reviewing the work agreements and MoUs financial and non-financial.
- Update on a regular basis Guarantees tracking sheet.
- Translation work when needed.
- Handling ad hoc inquiries on payments and other financial transactions.
- Type and send letters on request or when needed.
- Acting Finance Officer during his/her absence.
- Handling ad hoc inquiries on payments and other financial transactions.
- Any other duty requested from Admin Manager.

Profile of the Candidate:
- Bachelor’s degree in finance, accounting, business administration, or any related field).
- Previous experience with financial and administrative duties, including handling of petty cash and archiving.
- Proficiency in use of spreadsheets, word processing and computerized accounting systems.
- Solid archiving and organizing skills.
- Preferably 1 years’ experience in finance and Administrative related field.
- Preferably knowledge of humanitarian or emergency programming.
- Solid organizational skills: the ability to be flexible and work well under pressure in a fast-paced multi-tasking environment.
- Valid driving license and proven driving skills.
- Excellent in reading, writing, and speaking both Arabic and English.
- MS Word, Excel, PowerPoint, and email/internet software.
- Ability to travel in West Bank and stay overnight
COMPENSATION PACKAGE:
ILS 56,223 gross/ year divided in 12 payments and based on experience. In addition, Action Against Hunger covers food and transportation allowances for a fully worked month.
