Administrative and Logistics Assistant
Terre des hommes (Tdh) Foundation is a significant force among childrens aid organisations in Switzerland and throughout the world. It is the largest non-governmental organisation (NGO) for childrens aid in Switzerland. Tdh has development projects and emergency relief programmes in more than 30 countries and currently has operations in Hebron and Gaza.
Tdh is seeking to hire a proactive and hard working Administrative and Logistics Assistant to join its team in Jerusalem. This will be a four-month interim vacancy to cover for maternity leave. Depending on performance and available funds, this post may be extended. The position will report directly to the Finance & Admin Coordinator also based in Jerusalem.
Job Responsibilities include, but are not limited to:
Manage the petty cash box within the office.
Collect and pay the monthly bills of the office: electricity, phone, rent, etc.
Assist the Administrative and Finance Coordinator in his daily tasks.
Manage office procurement procedures and logistical filing system.
Be responsible for the Terre des hommes logistics in the Jerusalem office.
Provide timely support to Tdh Hebron & Gaza teams when needed with logistics aspects.
Liaise with Israeli and Palestinian authorities to facilitate working permits, visas, access permits.
Organize accommodation, flights, and provide assistance to expatriates or visitors in the OPT.
Ensure all visitors and staff have timely access to standard orientation packages
Manage all the outgoing and incoming phone calls and faxes.
Manage the office equipment, maintenance, and stationeries.
Book and pay taxi or flight tickets when requested.
Ensure that all staff files are properly documented and updated.
Ensure Flow of security information to field staff.
Undertake other duties that may be determined by his or her supervisor or Terre des hommes Country Representative.
Required Qualifications:
Fluency in English and Arabic. Hebrew is a plus. The spoken language in the office is English.
A bachelors degree in Business Administration or a relevant degree. New graduates are encouraged to apply.
Basic knowledge of NGO functions and operations in the OPT.
Excellent communication skills.
Strong organizational and planning skills.
Proficiency with Microsoft Office applications (Word, Excel, PowerPoint).
Ability to manage day to day interactions with contracted external service providers.
The selected candidate is required and expected to commit to respecting Child Protection Policy, commit to ensure the best implementation possible of Child Safeguarding Policy in Palestine, commit to inform the Country Representative and to deal with any case of any allegations or possibility of violation, even potential, to the Child Safeguarding Policy.
