Title: Administrative Assistant
Responsible to: Executive Director
Place: QADER Office, Bethlehem
Period: 12 months, renewable
Starting date:As soon as possible
Job Summary
Under the direct supervision of the Executive Director, the Administrative Assistant will assist in planning, management, and oversight of specific administrative processes at QADER; mainly procurement, contracts management, insurance services, human resource management, assets and resource management, and other administrative and logistical support processes.
Key Task & Responsibilities
1-Assist in the preparation of solicitation documents for the procurement of goods and services.
2-Provide assistance and support to projects coordinators/managers for the preparation of TORs for specialized services and consultancies upon request.
3-Assist in preparation of contracts related to acquisition of goods and services.
4-Provide overall management, oversight, and monitoring on all contracts signed between QADER and third parties.
5-Assist in planning and carrying out recruitment processes of new staff at QADER, and ensure compliance to HR policies and procedures.
6-Contribute to the overall management and oversight on employees’ contracts.
7-Ensure that the employees’ profiles are maintained according to QADER standards.
8-Lead the planning and implementation of annual inventory counts of QADER fixed assets.
9-Participate in the planning and management of insurance services for QADER Employees, Premises, and vehicles.
10-Provide oversight and management of QADER fixed assets, and ensure that custody procedures are in compliance with QADER standards.
11-Provide administrative and logistical support in the planning and implementation of QADER activities and events.
12-Contribute to insurance of effective use and application of the management information system by QADER staff.
13-Perform other tasks and duties as requested from the Executive Director.
Qualifications & Competencies
-Bachelor Degree in Management, Business Administration, Human Resource Management, or a related field.
-At least 2 years of solid previous experience in procurement, human resources, and/or logistical support.
-Excellent communication skill, with proven writing skills in English & Arabic.
-High planning & organizing skills.
-Excellent conceptual and analytical skills and demonstrable ability to think strategically, innovatively and practically to improve work quality.
-Critical information gathering abilities, conceptual and analytical thinking;
-Ability to handle multi-tasks in a fast paced environment.
-Ability to work with a team.
-Proficiency in Microsoft Application (Work, Excel, Power Point…)
-Ability to travel within the West Bank upon need.
