Administrative Assistant

The GIZ “Strengthening the Civil Society Programme” is seeking to fill a position of Administrative Assistant to assist the administrative officer in Ramallah
Administrative Assistant (Full-time)
Responsibilities and tasks include but are not limited to:
-Assist the Administrative Officer in daily management of program admin and finance issues
-Assist in reviewing and processing advance payments submitted by program local partners
-Assist in reviewing list of expenditures submitted by program partners, and ensure all supporting
documentation is in compliance with GIZ financial reporting standards, guidelines and LS Handbook
-Assist in ensuring that the work environment in the program office is in compliance with GIZ internal control policies and procedures,
-Assist in ensuring that all advance payments issued to partners are properly accounted for, and spent according to contract
-Invite offers, organize purchase orders and follow-up service contracts
-Review and prepare cash payments and follow up with suppliers and staff
-Provide clerical assistant to the program including photocopying and scanning of documents, organising and compiling of information materials, and Labels files as needed
-Prepares and organises information materials for the line manager, and assist in preparing financial reports for partners and program when required
-Maintain communications and good relations with colleagues and programme partners;
-Coordinating appointments, setting up meetings, organizing workshops
-Assist in communication matters and facilitate information exchange with partners;
-Assist in any other related task.
Required qualifications:
-University degree in accounting, finance, administration or any related field of study
-2-3 years’ experience in similar position
-Fluent in English and Arabic. German is a plus.
-Prior experience working with partner organization and in partnership environment preferred
-Strong computer skills, particularly in MS Office application (e.g. word, excel, PowerPoint)
-Excellent communication and interpersonal skills
-Good working knowledge of ITC technologies (related software, phone, fax, email, the internet)
-Excellent computer and communication skills.
-Ability to work under stressful conditions, self-initiator, flexible and able to work with people of different backgrounds, service oriented, friendly personality, well organised and motivated.
-Willingness to upskill as required by the tasks to be performed
Assignment: Starting 01.01.2015. 12 months contract.
