Background Information - Job-specific

The successful incumbent will be part of the Programme Management Office and as such will work under overall supervision of the PMO Team Leader.
Functional Responsibilities
Maintain processes to ensure project management documentation, reports and plans are relevant, accurate and complete
Track and report on project portfolio performance, providing a real-time, comprehensive, and prioritized view of all projects
Provide assistance to maintain and update the project management framework and disciplines necessary to support a PMO
Develop positive relationships with technical committees leaders and members to enable the PMO to provide support including facilitation, tracking and reporting on projects, and training
Assist with establishing PMO stakeholder management plan and implementation of the communication framework
Share lessons learned and best practices across programs
Understand the deliverables of internal and external PMO customers and contribute to success through cooperative and collegian processes
Establish proper filling system for the programme related documents, and make sure all the supporting documents are kept in files
Support the technical committees in the admin works for the working groups
Prepare and distribute minutes of meeting
Serve as point of contact between PMO and technical committees, as requested.
Develop and maintain files relating to projects specifications, product descriptions, as required
Arrange appointments between technical committees and external consultants
Act as a reference point for PMO queries and information and an advocate for best practices in project management
Perform any other duties as required by the supervisor

Monitoring and Progress Controls
To ensure smooth running of the project .Works with minimal amount of supervision.
Independently provides accurate results in the areas of work including administrative functions.

Education/Experience/Language requirements

Qualifications and Experience

Education:
A Bachelor Degree preferably in Business Administration or other related field will be an advantage.
Minimum of 1 years of professional experience in administration and related functions.
Computer literate and familiar with Office applications (in particular, Word and Excel).

Experience:

Previous experience in project administration, an asset;
Work collaboratively with colleagues to achieve project goals
Supportive and service oriented personality with commitment, efficiency and willingness to work in a highly motivated and fast-moving team;
Delivers outputs for which one has responsibility within prescribed time, cost and quality standards;


Language Requirements:
Excellent command of Arabic and English language (oral and written).
