Working Hours:40 hours per week: 8:00-16:00
AMIDEAST is an international, non-profit, education organization with offices throughout the Middle East and North Africa, including in the West Bank and Gaza. AMIDEAST implements the USAID-funded School Support Program that extends through August 31, 2018. The primary goal of the program is to improve the quality of education in 50 marginalized public schools in the West Bank. Program objectives include improving the educational environment in schools, enhancing community engagement, and strengthening students’ social competencies.
The Administrative Assistant/Receptionist will be based at the SSP office in Ramallah. S/he reports directly to the Deputy Chief of Party who provides guidance and/or support as may be required. The Administrative Assistant/Receptionist is responsible for controlling the reception desk and providing administrative support to SSP Program.
Specifically, the position is responsible for the following duties:
-Coordinate the day-to-day operations for SSP project, maintain & supervise all office errands and provide logistic support to program staff.
-Assist SSP staff in the photocopying, faxing and filing their correspondences and working papers.
-Follow up with responsible staff to maintain the telephone network, photocopiers and other office equipment maintenance.
-Maintain and update SSP staff contact list regularly.
-Arrange the transportation for SSP staff through contracted taxi offices.
-Supervise the office assistant and driver/s.
-Ensure that program cars are maintained and follow up with the lessor regarding any matter related to the leased cars.
-Control the reception area and answer telephone calls.
-Ensure that clients and visitors are met and directed appropriately.
-Replenish office supplies (stationery, groceries, cleaning, subscriptions …etc.) when needed.
-Comply with AMIDEAST’s petty cash policy.
-Any other duties as assigned.
Minimum Qualifications and Required Skills
-Diploma degree preferably in business administration or any relevant field;
-At least two years of work experience preferably in administration field;
-Familiarity with Donors regulations; USAID project work preferred.
-Fluency in English and Arabic.
-Excellent knowledge of software applications: Word, Excel, PowerPoint, Internet, and e-mail.
