Overview:
National Democratic Institute - NDI is a non-profit, non-partisan, non-governmental organization that works in partnership around the world to strengthen and safeguard democratic institutions, processes, norms and values to secure a better quality of life for all. NDI has been present in the Palestinian Territories since 1994, working with Palestinian political parties, civil society organizations, activists, universities, and youth on a variety of issues including advocacy campaigns, message development, political outreach, and the inclusion of women and youth in the political process and decision-making.
NDI West Bank & Gaza is seeking a full-time Administrative Officer to work closely with the Program Officer and Financial Officer under the supervision of the Program Manager and Financial & Admin Manager to provide assistance to the program. The position will be based in Ramallah.

Responsibilities:
- Oversee office operations, procedures, policies and administrative staff
- Track office budgets, expenses, ordering and inventory
- Supervise maintenance of all office equipment and services
- Work closely with the Administrative Assistant to create, develop, and enforce standards for records management, file keeping, and information systems
- Draft written communications and correspondence on behalf of the organization or department
- Represent the organization at meetings, conferences, and public events
- Serve as a point of contact for vendors
- Prepare memos and support other supporting documents for all financial matters
- Support training and mentoring for staff and other stakeholders on administrative matters
- Develop and maintain tracking systems for programmatic and financial information, including timely submission of field reports, donor reports, subgrantee progress and financial reports, and timesheets
Qualifications/Person Specification:
- Bachelor's degree in public administration, business administration, or similar field
- 3-5 years office experience in administration role, prior experience working for international organizations
- Experience in office administration
- Experience providing logistics and administrative for programs
- Strong verbal and written communication.
- Proficiency with Google Suite and Microsoft Office (Word, Excel)
- Comfort learning and working with new software/databases.
- Willingness to learn and open to new ideas.
- Excellent organizational abilities and attention to detail
- Fluency in Arabic and English (an understanding of Hebrew a plus).
- Ability to freely travel within the West Bank
- Ability to work on weekends (If needed)
