Duty Station Field Office - Jerusalem
1. FUNCTIONS AND RESPONSIBILITIES:
In accordance with established policy and procedures, the incumbent provides logistical support for the HDM/AdCom and Sub-committees meetings in relation to venue and hotel arrangements, technical support needed such as Video-Conference booking, transportation facilities and other logistical needs as may be required; manages the Office of the Head AdCom including handling the AdCom’s agendas and schedules using the appropriate computer software; sends out and ensures receipt of all correspondence related to HDM/AdCom and sub-committees meeting including inventions, Special Service Agreements, travel requests, etc.; follow up with Finance Department on the AdCom budget to ensure payment for services providers, translation services and other required support services; coordinates with secretaries of the Department Heads and Field Directors as required, coordinates with HQ Amman ERD staff to ensure name tages, country plates and other stationery requirements are provided in due time; publish AdCom related documents on UNRWA AdCom website; performs such other duties as may be required.
2. IMPACT OF INCUMBENT’S WORK
Importance of Decisions and Proposals Made by the Incumbent
Decisions of the post incumbent mainly concerns methods and approaches related to provision of effective logistical support to the Advisory Commission and its Bureau. Proposals pertain to the preparation of required facilities and services and publishing documents on AdCom website.
Possible Consequences of Involuntary errors made by the incumbent:
Errors, even in routine tasks, can seriously hamper the work of the AdCom Secretariat. Errors in more serious matters could gravely affect the meetings of the AdCom and sub-Committees.
3. INDEPENDENCE OF WORK
(A) Application of Guidelines
The work is performed within the framework of general Agency policies and directives and instructions from the supervisor. However, specific guidelines may not always be relevant and the incumbent will occasionally be required to revert to the direct supervisor in dealing with unusual situations.
(B) SUPERVISORY CONTROL OVER WORK OF INCUMBENT
Routine work in performed under the general supervision of the supervisor. Non-routine matters are closely supervised and monitored by the supervisor.
4. MINIMUM QUALIFICATIONS
• Academic and Professional qualifications
University degree in Business Administration, Public Administration or other related discipline.
• Experience
• Four years experience, preferably in administration, human resources and/or office management.
• Excellent knowledge in computer utilities such as work processing, spread sheets, data base and power point.
• Language
Good command of spoken and written English. Arabic and/or other UN languages is an advantage.
• Competencies
Communication skills; careful with details; typing and filing skills; ability to research and summarize background material; very good speed in accomplishing tasks and organizational skills; ability to follow up on issues actively; sound judgment on importance /Priority / confidentiality of issues.
5. DESIRABLE QUALIFICATIONS:
• Knowledge of the Agency’s rules and regulations related to Administration and Human Resources.
• Prior experience with other United Nations organizations.
6. CONDITIONS OF SERVICE :
UNRWA offers an attractive compensation package including gross monthly salary starting at JD 733.4 (net tax free) plus a Jerusalem Allowance of NIS510; the Agency also contributes 15% of basic salary as the Agency’s share of Provident Fund. Other fringe benefits may include dependency allowance for married staff, annual leave, provident fund, health insurance.
Initial contract is for 3 years; the first year is considered as probationary period, and
the contract is extendable for further periods depending on the performance of the incumbent.
