Emergency Procurement and Logistics Assistant
War Child (WC) in the occupied Palestinian territory is a non-profit, non-political, and non-religious non-governmental international organization. The organization invests in the peaceful future of children affected by armed conflict. WC’s programmes strengthen psychosocial development, contribute to protecting children from violence, neglect, and abuse, and advocate for the rights of children and youth, applying the power of creative arts and sports to reach its objectives. WC is working in the oPt since 2006 and has an office in Jerusalem and in Gaza.
Objectives of the position
The Emergency Procurement and Logistics Assistant (100%) will assist the Procurement and Logistics Senior Officer (PLSO) in Gaza in ensuring that the requirement Procurement, logistics, movement, Safety, and security needs and tasks are achieved and/or running effectively and efficiently to enable programme staff and other stakeholders to implement the War Child Programme in Gaza.
Based in the War Child office in Gaza, he/she directly reports to the Procurement and Logistics Senior Officer – Gaza.
Position in the organization
The Emergency Procurement and Logistics Assistant will be based in the War Child office in Gaza, he/she directly reports to the Procurement and Logistics Senior Officer – Gaza.
Direct Reports: None.
Essential functional relations: Operations Department staff, and Gaza staff.
Result Areas/Responsibilities:
Logistics and Administration
- Performs administrative tasks (filling, photocopying, scanning documents, etc.).
- Assists and facilitates the adherence to WC administrative, reception of visitors, and logistics procedures and staff policies by support staff.
- Maintain Gaza office suppliers, structure, and logistics needs in coordination with the PLSO.
- Ensures preparedness (hibernation kits, contingency kits, first aid kits, etc.) for hibernation, evacuation, and contingency plans in the Gaza office, in coordination with the PLSO.
- Coordinate the cleaning and ICT needs of the Gaza office.
- Holding the Petty cash box ( managing daily payments and transactions, filling all the necessary documentation, and reconciling the box balance)
Procurement
- Assist the Procurement and Logistics Senior Officer in managing the supplies, services, contracts, assets, and stock.
- Assist in Updating price lists and vendor databases.
- Assist in verifying and processing quote requests and Purchase orders.
- Compose and archive purchase folders.
- Implement purchases, monitoring adherence to validation regulations and procedures.
- Negotiate prices, deadlines, and methods of delivery.
- Ensure that relationships with suppliers are monitored.
- Assist the program department in distribution of kits and aids
- Conduct field visits to suppliers as needed.
Fleet
- Assist in planning and implementing the maintenance and repair work for WC vehicles.
- Draw up the vehicle schedule.
- Ensure that a complete safety kit is available in all vehicles.
- Fill and follow up the vehicle log books that are in place and are used correctly.
- Monitor the administrative documents for all vehicles.
Staff Movement
- Support preparing the staff movement plan.
- Assist PLSO in preparing the coordination for the staff movement.
- Follow up with the staff during field visits, (follow up on the Instructions on the WhatsApp group related to coordinated movement, ensure the arrival and departure of the trip from the previously specified visit locations, etc.)
- Reporting any incidents that may occur during the Staff Movement.
Safety and Security
- Ensure logistical aspects of safety & security management are maintained in coordination with the Procurement and Logistics senior Officer.
- Assist in planning, coordinating, preparing, and conducting field missions including tracking of staff, support in performing regular security assessments in the area of responsibility to support safe and effective programme delivery.
- Assist in the management and maintenance of security equipment and identify new requirements to strengthen technology capacity in line with business requirements.
- Assist in monitoring that all access control procedures are effective and stringently followed by all staff and visitors to ensure accountability and maintenance of a safe and secure working environment.
- Contribute to the development and update of emergency and contingency planning documentation including physical preparations and procedures to support preparedness for a crisis.
Other
- In the absence of the PLSO provide support to the WCH team and partners.
- Take on any other relevant tasks within the Operations Department, as requested by the PLSO.

Knowledge and Experience
- BA degree in Accounting, Administration, Engineering, or similar degree
- A minimum of 1 year of relevant working experience, preferably with an (I)NGO or NGO
