Reporting to: Finance & Admin. Coordinator
Location: Ramallah Office
Duration: 3 months (extendable)
SUMMARY :
The Finance & Admin Assistant will assist the Finance & Admin Coordinator in monitoring and tracking financial plans and project budgets, financial record-keeping.
He / She will assist in following up procedures in accordance with SIF and donors policies and guidelines. He / She will also support programme staff in all areas related to the financial management of projects.
He / She will perform administrative and office support activities.
Duties may include fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and presentations, and filing. Extensive software skills are required, as well as strong communication and organization skills.
The successful applicant will be able to demonstrate the ability to work well as part of a team to deliver accurate work under tight deadlines.
Core responsibilities
The job includes, but is not limited to the tasks described below:
Finance support tasks:
-Responsible for monthly and daily office payment.
-Programmes budget follow up and monitoring.
-Follow up contracts, agreements, deadlines and updates.
-Follow up income tax &VAT Exemptions with Ministry of Finance.
-Responsible for recording cash and bank transfers.
-Follow up petty cash fund and payments.
-Record payments, receipts and non-cash vouchers.
-Support the assessment of financial and administrative capacity of partners, assist in identifying training needs and development potential on financial / administrative management, procedures,
reporting…
-Ensure all supporting documentation and signatures are obtained before finalizing vouchers.
-Maintain a filing system for vouchers.
-Assist in preparation of monthly / annual financial reports for the
mission and donor reports.
-Bring to the attention of the supervisor any relevant financial,budgetary and administrative issues.
-Prepare monthly bank reconciliations.
-Perform other related duties as required.
Administrative tasks:
-Type correspondence, reports and other documents in Arabic and English.
-Maintain office files.
-Open and distribute the mail.
-Take minutes at meetings.
-Distribute minutes.
-Coordinate repairs to office equipment.
-Arrange for hotel reservations, airport pick-up and drop off, in country transportation.
-Support to the Project Department during the seasonal projects and other projects in contacting the partners, donors, others NGOs.
-Translates or arranges for the translation of documents from Arabic to English or English to Arabic;
-Greet and assist visitors..
-Answer phones
-Direct calls and respond to inquiries
-Perform other related duties as required.
Qualifications and experience:
-BA in accounting/Finance or any related field
-At least 3 year experience in finance & admin.
-Experienced in working with non-governmental organizations with financial planning and monitoring of development
and relief projects.
-Experience in administration, procedures and record keeping.
-Experience in monitoring and tracking the budgets and the payments.

-Excellent written and spoken English and Arabic.
Desirable:
-Driving license
-Written and spoken Hebrew.
