Head of Mission Assistant -Reposting
 
Medecins Sans Frontieres (MSF – Doctors Without Borders) is an international humanitarian aid organization that provides assistance in more than 60 countries to populations in distress, to victims of natural or manmade disasters and to victims of armed conflicts, without discrimination and irrespective of religion, creed or political affiliation. Head of Mission Assistant
 
CONTEXT:
MSF teams have been working in Palestine since 1989 in both Gaza and the West Bank, and our teams in Gaza continue to provide lifesaving care amid Israel’s ongoing siege and bombardment. In Gaza, we provide medical care, humanitarian aid, and support for a health system that urgently lacks both personnel and supplies, with teams offering reconstructive surgery and comprehensive care for people with burns, trauma, and other urgent medical needs. In the West Bank, we bring health care to communities cut off from access, distribute relief items, and support local health providers with training, donations, and capacity, among other activities. 
 
OBJECTIVE OF THE POSITION:
 
Provide support to the mission by assisting the Head of Mission in the administrative part of coordination tasks, ensuring a smooth relation with local and national authorities, contributing to the context analysis and follow-up, to the management of information, providing translations and interpreting in order to facilitate coordination tasks in the mission.
 
JOB PROFILE:
 
Main tasks
                
-Assist the HoM in the context analysis, disseminate relevant context information to the coordination team, regularly inform them on key issues, update general information on the context for MSF internal documents, and advise on cultural appropriateness of organisational activities and individual behaviours .
 
-Keep good knowledge of counterparts in different administrations and file field contacts (other NGO’s, UN agencies, local authorities…) verifying that they are easily accessible in order to facilitate contacts and meetings.
 
-At the request of the HoM, represents MSF in meetings (NGO, official bodies, administration…).
 
-Ensure the follow up of relevant administrative dossiers such as the MSF registration in a country, working permits, immigration policies, national protocols, etc.
 
-At the request of the HoM, prepare and conduct an information briefing focusing on the country context for International, Regional and Relocated Staff.
 
    - Facilitate the management of MSF information and essential records and documents by the    mission team following MSF policies and guidlines .
-Translate documents and act as an interpreter when needed.
 
Additional tasks:
 
Agenda and Appointments Management
  • Manage the HoM’s agenda, scheduling and organizing meetings, appointments, and events.
  • Ensure timely communication and reminders for upcoming meetings and deadlines.
  • Coordinate with relevant parties to set up meetings and ensure all necessary arrangements are in place.
Behavioral and Cultural Briefings
  • Perform behavioral and cultural briefings for staff to ensure they are aware of and can adapt to local customs and practices.
  • Provide guidance on appropriate behaviors to foster positive interactions with local communities and authorities.
Support in Mapping Actors and Stakeholders
  • Support the HoM in mapping actors and stakeholders in the health and humanitarian sector.
  • Regularly update the mapping to reflect any changes or new developments.
Managing Contact List of External Actors
  • Maintain and manage an up-to-date contact list of external actors, including NGOs, UN agencies, and local authorities.
  • Ensure the contact list is easily accessible and organized for quick reference.
Ensure documentation and archive for the mission.
  • Ensure the follow up of MoU for activities in OPT. Support other coordination departments on significant dossiers, in case of need.

متطلبات الوظيفة

Education

A degree in Administration, International Relations, Social Sciences, Public Health, or a related field is recommended.

 Experience

1 year of previous experience in a similar role, preferably within an NGO or international organization.

Languages                       

Proficiency in English and Arabic; knowledge of Hebrew is an advantage.
