Human Resources Assistant
For 3 months with possibility of extension
General Objective:
Assist the Human Resources (HR) Officer with day-to-day operations of the HR and functions in Gaza base and contribute to the scale up of Action Against Hunger (AAH) in an emergency context.
Tasks and responsibilities:
Support the recruitment process:
- Support the HR Officer in Gaza base recruitment processes and prepare all needed documents during the recruitment processes (Announcements, job offers ... etc.).
- Archive the documents related to the recruitment process appropriately.
- Support in the coordination of the briefing agendas, enduring smooth and complete induction provided to each new staff member.
HR administrative management:
- Prepare under the supervision of HR officer all Gaza staff employment contracts, contract amendments and contract extensions.
- Follow-up and update on regular basis, the Gaza employees’ files, and make sure that all documents are available, signed and correctly archived.
- Follow-up the attendance system for Gaza employees, prepare the attendance sheets and ensure correct signing and proper archiving.
- Follow up the leave requests for Gaza staff members and maintain up to date records of validated leave requests according to the Internal Regulations.
- Prepare the Gaza base monthly payrolls and salary advances under the supervision of the HR Officer.
- Distribute monthly salary slips to Gaza employees.
- Prepare and follow up HR letters and documents upon request (Working certificates, probation period letters, exit checklist ... etc.).
- Follow up on signing timesheets through the available tools.
Health Insurance management
- Act as AAH focal point for health insurance enquiries and getting needed approval from the company for the various health related procedures.
- Prepare health insurance claims and follow up staff insurance reimbursement.
- Follow up adding new employees to the health insurance policy and removing employees upon their departure.
- Follow up the health insurance payments with the finance department.
- Support the HR department in case of updating/renewing the health insurance policy annually upon request and if needed.
Daily labor management
- Support the HR Officer drafting contracts for daily labor, ensuring that all required info is correct.
- Ensure daily labor timesheets are correctly maintained and signed.
- Participate in the selection of daily workers, according to the pre-established criteria and AAH procedures.
- Support, as needed, in the preparation of payments for daily labor, according to the submitted and verified timesheets.
- Any duties inherent to the position and requested according to the base needs and context.

- Bachelor’s degree of Administration Sciences or any related area.
- Basic knowledge of HR Administrative Management.
- Minimum 1-year experience in HR/Administration related field.
- Experience in similar role working with international or national INGOs.
- Experience in emergency and highly volatile contexts.
- Strong understanding of Gaza emergency context and national regulations.
- Excellent organizational skills, including time and stress management. Ability to be flexible and work well under pressure in a fast-paced multi-tasking environment.
- Fluent spoken and written Arabic.
- Good English Language level both spoken and written.
- Computer skills in MS-Office (Word, PowerPoint and internet, command Excel)
- Good understanding of issues related to the promotion of gender equality or personal commitment to gender equality.
- Candidates from Rafah are preferred.
