Information Management Assistant
For a period of 12 months with possibility of extension
General Objective:
The overall responsibility of the Information Management (IM) Assistant is to digitize and organize field data, in accordance with IM protocols, additionally; managing and archiving project-related documentation across various communication platforms, ensuring proper filing and accessibility.
Key Activities:
Objective 1: Digitize all data collected from the field such as beneficiary registration lists, distribution lists, surveys (if not collected digitally), observation docs…etc. according to IM protocols and practices.
Tasks:
- Design and collection With the MEAL and technical team, design ToRs for the implementation of data collection.
- Review data collection tools with the MEAL team to align them to technical standards, guaranteeing the homogeneous collection of relevant indicators.
- Accurately input and maintain data within the organization's information management systems, ensuring completeness, consistency, and integrity of information.
- Organize and maintain physical and electronic records according to established protocols and retention schedules, ensuring compliance with relevant regulations and standards.
- Train field staff on data collection protocols and the use of digital tools to ensure accurate and consistent data entry.
Objective 2: Compile and ensure proper documentation and filing of all data relevant to project implementation data, beneficiary registration, and needs documentation exchanged through different communication channels including but not limited to Microsoft TEAMS, Whatsapp…etc..
Tasks:
- Assist in the administration and maintenance of databases, including data cleaning, data validation, and troubleshooting database-related issues.
- Implement and uphold security protocols to safeguard sensitive and confidential data from unauthorized access, disclosure, or loss.
- Perform regular audits and quality checks to ensure the accuracy, consistency, and completeness of information stored within databases and other repositories.
- Develop and maintain a standardized filing system for physical and electronic documents to ensure easy retrieval and efficient information management.
- Coordinate with project teams to ensure timely and accurate submission of all required documentation and reports.
Objective 3: To support the IM, MEAL, operations, and advocacy departments when required, based on the internal IM priorities
Tasks:
- Collaborate with AAH staff and stakeholders to identify information management needs, facilitate knowledge sharing, and communicate updates or changes to information management policies and procedures.
- Visualization: Develop reports and dashboards from the stored data, working together with the MEAL and technical teams.
- Support the dissemination of the information products developed by the department.
- Provide technical assistance and training to staff on information management systems and tools.
- Assist in the development and implementation of IM-related projects and initiatives to enhance data management and utilization across departments.

Profile of the Candidate:
- University degree (BA in Information Technology, Computer Science, Information Management, or related field).
- Experience in managing and working with IM systems or M&E.
- Degree in social sciences, administrative sciences, or a related field,
- Proficient in the Microsoft Office package.
- Knowledge of database management and data collection tools.
- Experience in implementing project monitoring systems and IM system development.
- At least 1 year of experience in data management and monitoring system implementation.
- Strong skills in Excel (including PowerQuery) and experience working with databases.
- Proficiency in English and Arabic (both written and spoken).
- Familiarity with data visualization tools (such as Power BI and GIS) and experience in data analysis.
- Experience with ODK/Kobo Toolbox and other data collection tools.
- Familiarity with Microsoft Azure and cloud-based data management systems is a plus.
- Knowledge of SQL and C# is a plus.
- Flexibility and willingness to travel within the West Bank.
