Logistics Assistant Fleet
TASKS AND RESPONSABILITIES:
To assist the logistic manager in all logistic activities
Transport And Communication:
- Regulate the use of vehicles and communications equipment within the organization.
- Ensure that MdMF's fleet of vehicles and equipment is mechanically maintained to provide reliable transportation for MdMF's assets, resources, and personnel.
- Install, program, and maintain communications equipment, including telephones, radios, and fax machines.
- Supervise and plan vehicle allocation to optimally serve the needs of the program.
- Monitor fuel consumption of MdMF vehicles and assess drivers' skills.
- Personally adhere to MdMF regulations when driving an MdMF vehicle.
- Conduct spot checks of vehicles to ensure they are well-maintained by drivers, including checking general conditions, tires, brakes, steering, fluid levels, signalization, and accessories availability.
- Coordinate vehicle movements to ensure efficient utilization and timely delivery of goods.
- Manage fueling, maintenance schedules, and repairs for all vehicles in the logistics fleet.
- Maintain service records for all vehicles and driving records for all drivers.
- Monitor schedules for the renewal of vehicle registrations and insurance.
- Track fuel and lubricants consumption per vehicle and oversee fuel acquisition processes.
- Ensure proper adherence to vehicle management policie
Office And Guest House Management
- Manage reservations and bookings for guest accommodations, ensuring efficient utilization of available space.
- Coordinate housekeeping services to maintain cleanliness and orderliness of the office and guest house.
- Handle billing, payments, and financial transactions related to guest stays, maintaining accurate records.
- Ensure the proper functioning of office and guest house facilities, including internet, lighting, plumbing, and electrical systems.
- Coordinate maintenance and repairs as needed, promptly addressing any issues to minimize disruption.
- Supervise cleaning staff, ensuring adherence to established standards and schedules for maintaining cleanliness and tidiness.
- Oversee security measures and implement safety protocols to ensure the safety and security of guests and premises.
3) Travels / Movements
- Recruit, train, and supervise drivers, ensuring adherence to safety standards and regulations.
- Monitor driver performance and enforce safety standards through regular evaluations and feedback.
- Plan and optimize transportation routes to minimize costs and maximize efficiency, considering factors such as distance, traffic, and delivery schedules.
- Coordinate with program managers to ensure timely delivery of goods and services, communicating any delays or issues as they arise.
- Monitor route performance and make adjustments as necessary to meet operational objectives.
- Maintain accurate records of vehicle maintenance, inspections, and repairs to ensure fleet reliability and compliance with regulations.
- Provide regular updates to management on transportation operations and performance, including key metrics such as on-time delivery rates and fuel consumption.
4) Reporting
- Provide reports on fleet status as scheduled by the Logistics Manager, ensuring timely and accurate delivery of information.
- Prepare comprehensive reports on transportation activities, including fuel usage, mileage, logbooks, and vehicle performance, to facilitate data-driven decision-making.
- Monthly reporting on all activities related to vehicle management to the Logistics Manager, highlighting key metrics, trends, and areas for improvement.
5) Others
- Maintain confidentiality and observe absolute discretion regarding documents, interviews, discussions, and any sensitive information.
- Perform any other duties as requested by the Logistics Manager to support departmental objectives and operational needs.
- May also be responsible for miscellaneous duties related to logistics operations, including record-keeping, administrative tasks, or liaising with other departments.
Regularly conduct asset inventory checks, including physical counts, and prepare inventory reports for the Office and Guest House to ensure accurate documentation and tracking of assets..

- High school diploma or equivalent; additional education or training in logistics or related field is a plus.
- Proven experience in fleet management at least 5 years, preferably in a transportation or logistics setting.
- Strong mechanical aptitude with knowledge of vehicle maintenance and repair procedures.
- Proficiency in installing, programming, and maintaining communications equipment.
- Proficiency in computer systems and software applications relevant to reservation and billing processes.
- Excellent organizational and multitasking skills.
- Ability to work effectively in a fast-paced environment and prioritize tasks.
- Strong attention to detail and problem-solving abilities.
- Effective communication and interpersonal skills.
- Ability to work independently with minimal supervision.
- Valid driver's license with a clean driving record.
- Knowledge of safety and security procedures, with the ability to respond effectively in emergency situations.
