Reports to: Emergency Coordinator with technical supervision from Logistics Officer and Country Logistics Manager
Duty Station: oPt – Gaza (Rafah or Deir Al Balah)
OBJECTIVE/PURPOSE OF THE ROLE
The Logistics Assistant is responsible for supporting the Emergency Logistics officer and emergency team in managing the logistics activities within Gaza. This includes procurement, warehousing, premise & fleet management. Importantly, the Logistics assistant will directly work on the implementation of NFI distributions across Gaza in coordination with the emergency logistics officer and other workers.
MAIN ROLES & RESPONSIBILITIES
Procurement
- Support the procurement needs & compliance with WW & Donors policies, manuals and SOP
- Responsible to implement procurement process from single quotes to 3 quotation procedures
- Conduct market studies & supplier selection activities
- Support the development and maintenance of strong relationships with suppliers
- Responsible to support the management of procurement documentation such as and purchase orders & contracts
- Update relevant archives, procurement follow up tools and order processing and send regular feed back to the logistics officer
Distribution Activities
- Provide logistical support during NFI distribution events, including setting up distribution points, managing crowds/ lines, and overseeing the orderly distribution of items
- Coordination with transporters and donor representatives in advance to ensure all trucks are requested and ready for loading based on activity needs
- Coordinate the loading of NFI kits onto vehicles for transportation to distribution sites
- Ensure that NFI kits are securely packed and loaded to prevent damage during transit
- Supervise the offloading of NFI kits at distribution sites, ensuring accurate counting and documentation of received items
- Assist in verifying the identity of beneficiaries and recording the distribution of NFI kits to ensure accountability and transparency
- Support in the selection and supervision of daily workers to support the NFI operations
- Liaise with relevant site focal points and issue handover documentation ensuring accuracy
- Address any logistical challenges or issues that arise during distribution events, coordinating with relevant stakeholders to find solutions
- Ensure compliance with safety and security protocols during NFI distribution activities
- Report any security incidents or concerns to coordination team
- Participate in post-distribution monitoring activities to assess the effectiveness of NFI distributions and gather feedback from beneficiaries
- Compile data and prepare reports on NFI distribution activities, including quantities distributed, beneficiaries reached, and any challenges encountered
Fleet Management
- Support in the management of an efficient transportation and fleet systems across the area
- Anticipate vehicles needs and liaise with other departments and staff to ensure budget and program needs are respected
- Coordinate with he vehicle rental companies to ensure that all vehicles are properly serviced, maintained, and repaired to ensure that they are safe and reliable for use
- Maintain efficient monthly, weekly & daily planning & movements systems including log books
- Support the management of fuel allocation, filling with fuel and ensure compliance to fuel SOPs and reports
Warehouse Management/ Store Keeping
- Managing and maintaining accurate inventory records of all goods and supplies in the WW warehouse including receiving, inspecting, dispatching and recording goods, as well as conducting regular physical inventory checks and ensuring the stock cards and master stock report is accurate at all times
- Ensure all goods and supplies are stored in a safe and secure manner in accordance with standard best practice and WH guidelines
Premise Management
- Ensure proper working & living conditions for all staff in each premise (Offices, WH, Guest house etc.) This includes ensuring that all facilities are clean, safe, and well-maintained
- Coordinating the maintenance and repair of all premises including; scheduling regular maintenance checks, arranging for repairs, ordering supplies, communicating with landlords and ensuring that all facilities are in good working condition at all times

- At least 1-2 years of working experience in the logistics, distribution or warehousing operations (preferably within a INGO)
- Flexibility and ability to multi-task under pressure
- Ability to work well in unstable and frequently changing security environments
- Proficiency in written and spoken English
