Logistics Assistant - North Gaza
General Objective:
The overall responsibility is to support the Logistics Officer in following up all logistic fields in terms of procurement, fleet, equipment, ICT and office/GH management in the Area.
Procurement and Supply Chain Management:

Collect quotations and fill up the assessment table.

Receive and process the Procurement Requests and update the Procurement Follow-Up (PFU).

Review and validate the information filled in the received PRs (specification, delivery times, prices…). Cross-check the items on PR with market prices and stock availability before starting the procurement and provide feedback or request modifications if necessary.

Ensure the respect of the deadlines and procedures for the procurements managed.

Manage procurement dossiers and prepare all relevant documentation (preparing RFQ, collection of quotations, negotiation with suppliers, SPO / contracts, collecting invoices, etc), leading on all direct Purchase dossiers and supporting the logistics officer on Framework Agreement executions and other procurements.

Archiving all documentation related to Procurement Dossiers in digital and physical forms.

and inform the requester department when a PD is closed in order to prepare the Payment Request.

Liaise with the Logistics Officer and logistics assistant – warehouse keeper for the reception of goods.

Provide support to the logistics assistant – warehouse keeper in control of stock management when absent or support is required.

Collect data on the market (market surveys) and local suppliers in his/her zones and other strategic areas if required.

Translate documents (Arabic to English or vice-versa) when requested.
Facilities management :
-
Plan and execute the procurement of the needed office supplies in the Area.

Maintain and update an inventory of furniture, office supplies and other assets.
-
Supervise the state of repairs of premises and arrange for the execution of maintenance / repair works when needed.

Ensuring that the AAH premises (offices, guesthouses, warehouses) are in optimal conditions (water, energy, cleaning and maintenance) and that running costs are properly paid

Checking and following up on the first aid kits, smoke detectors and extinguishers in the office, guesthouses and in ACF vehicles (inventory, expiry date follow-up, replacement etc.).
:Equipment & ICT management

Support the ICT focal point with maintaining the base equipment list updated, including registering new equipment and signing loan certificate with users.

Support the ICT focal point and the staff in the base on reporting ICT incidents.

Support on supervising the installation, maintenance and repair of logistical equipment.
-
Follow up on communication contracts and bills.
Fleet management

Support on the organization the vehicle/movement planning.
-
Ensure proper maintenance of the fleet and liaise with the rental company for vehicle maintenance and repairs.

Reporting and monitoring the maintenance and fuel consumption of the Area vehicles.

Collecting and archiving of fleet documents (logbooks, vehicle and drivers' information, fuel receipts…).
General support
-
Provide temporary support to other bases’ logistics teams when needed
-
Gather and submit the relevant data as per requirements to support monthly and ad-hoc reporting.

Bachelor’s degree in humanitarian logistics, business administration or procurement or in computer science, management information system, information technology or related field.

Procurement and Supply Chain management, fleet management, Asset Management, ICT, networking
-
Desirable 2-year minimum experience working on projects at humanitarian aid organizations and/or international donors or private sector.
-
Knowledge in humanitarian or emergency response is a plus.
-
Knowledge of major humanitarian donors and donor compliance issues is a plus.

Is an asset
-
Arabic & English: Very good level in reading, writing and speaking.

Proven experience in Office 365, corporative email application, network management and connectivity. Power BI knowledge is an asset

Valid driving license

Candidates from Gaza/North Gaza are preferred.
