Office Manager

In order to support the GIZ Office – Country Director’s Office at the German House, we are looking for an
Office Manager
Responsibilities and tasks include but are not limited to:
-Organise, coordinate and plan the country director’s daily appointments and duty trips
-Support the Country Director in preparing internal documents and reports
-Manage email correspondence and phone calls to GIZ HQ in English and German
-Interpret and translate documents as required.
-Provide required logistics for the GIZ office, including events and meetings management
-Provide services for short-term experts and other visitors.
-Provide support for (official) travels of the Country Director.
-Support in preparation of information material for the Country Director and the entire GIZ Office.
-Monitor all incoming and outgoing correspondence (phone, post, fax, email) and ensure prioritising
and organising each.
-Filing and processing of documents in line with GIZ’s filing rules and regulations.
-Prepare monthly report for duty trips of seconded staff and sends it to GIZ HQ, in coordination
with Head of Administration.
-Ensure smooth workflow and good communication flow, particularly with the country director
-Other duties/additional tasks as required by management.
Required qualifications:
-University degree in office management/administration or similar area
-at least 5 years’ professional experience in a comparable position
-Fluent in Arabic, English and German (oral and written).
-Excellent computer and ICT technologies (in particular MS Word, Outlook, Excel, internet, phone, fax)
-Strong management and organisational skills
-Willingness to upskill as required by the tasks to be performed.
-Known for being discreet and handling information on staff and finances confidentially.
Assignment: Starting as of 01st July 2015.
