DAI is seeking highly qualified candidates for the following position:
Operations Assistant
Project: Small and Medium Enterprise Assistance for Recovery and Transition (SMART)
Expected start: January 2, 2024
Level of effort: Full-time
Location: Ramallah, Palestine
Background
The purpose of Small and Medium Enterprise Assistance for Recovery and Transition (SMART) Activity (SMART Project) is to rapidly recover the Palestinian small and medium enterprises (SMEs) and put them on a path to revitalization following the unprecedented COVID-19 crisis. SMART helps SMEs regain productivity, grow and expand. It promotes economic growth and self-reliance in the West Bank and Gaza.
Purpose
The Operations Assistant will support the proper implementation of the project’s administrative, grants and procurement functions.
Responsibilities
Administrative Tasks
- Assist in developing and maintaining office filing systems.
- Take, prepare, and distribute minutes of meetings.
- Assist in the inventory management of all project property.
- Assist in timesheet collection and review.
- Provide support and assistance to the technical departments, if required.
- Assist in events with logistics if needed.
Grants and Procurement Assistance Tasks
- Assist in and support the efficient management, implementation, and compliance of subgrants programs in accordance with DAI and USAID rules and regulations.
- Coordinate with the grants manager, technical and procurement team to ensure complete grants data entry in DAI systems.
- Support in scanning and filing procurement and grants files.

Requirements
EDUCATION
- A bachelor’s degree in any relevant field.
WORK EXPERIENCE
- A minimum of 2 years of relevant experience.
- Experience with an interest in support of administration work, subgrants and procurement support tasks, archiving and data management.
- Understanding of best practices in administration and assistance work.
- Detail-oriented with ability to multitask, prioritize, and remain flexible while adhering to strict deadlines in a fast-paced working environment.
SKILLS & KNOWLEDGE
- High level of interpersonal and diplomatic skills required.
- Good communication and organizational skills with demonstrated cross-cultural sensitivity.
- Excellent English communication skills including written communications.
Reporting
The Operations Assistant will report directly to the Deputy Chief of Party.
