Program Assistant

- Working days: Tuesday to Saturday (Days off Sunday & Monday)

Overview:

NDI has been present in the Palestinian Territories since 1994, working with Palestinian political parties, civil society organizations, activists, universities, and youth on a variety of issues including advocacy campaigns, message development, political outreach, and the inclusion of women and youth in the political process and decision-making.
NDI West Bank & Gaza is seeking a full-time Program Assistant to work closely with the Program Officer under the supervision of the Program Manager to provide assistance to the program. The position will be based in Ramallah.

Responsibilities:
- Assist with drafting narrative and financial reports.
- Assist with organizing program activities and monitoring/reconciling assigned program budgets/expenditures
- Assist with preparing correspondence and program outreach materials.
- Assist with organizing logistics for trainings and workshops (event space, catering, arrangements, etc).
- Coordinate logistics for events including online and offline workshops, sessions and trainings.
- Build relationships and maintain communication with program partners and stakeholders.
- Follow up with program participants.
- Filing documents and helping organize the electronic and physical filing system.
- Coordinate activities with other program staff.
- Arrange for hotel booking, flights reservation, and visas and support filing of expense reconciliations.
- Update and monitor the office inventory list.
- Maintain records of program results, including but not limited to stakeholder contact information, key issues discussed and decisions made.
- Draft weekly internal program reporting, ensuring activities are fully described and indicators / disaggregation is correctly reflected, providing troubleshooting as needed.
- Track Palestinian political news and social media activity; draft short briefing memos on emerging topics.
- Perform other duties as assigned by team.
Qualifications/Person Specification:
- Bachelor's degree in public administration, business administration, or similar field
- 3-5 years office experience, prior experience working for international organizations
- Office administration experience
- Experience providing logistics and administrative support for a program
- Willingness to learn and open to new ideas
- Proficiency with Google Suite and Microsoft Office (Word, Excel)
- Fluency in Arabic and English
- Ability to freely travel within the West Bank
