Job Summary:

Under the supervision of the Program coordinator, The Program office Clerk will provide support in translating document and direct translation with the team. He/she will be involved in drafting planning and supporting the program manager in team organization.

He/she will be in charge to provide support in drafting operational logistic, programmatic and administrative documents.

Job Description:

Translation

  • Ensure translation of the key program documents
  • Ensure ad hoc oral translation to in daily team organization, and meetings.
  • Support the program manager with translation through email writing, phone calls and meeting with local partners

Planning and organization of the program team

  • Support program manager in establishing and communicating weekly plans to the program team
  • Draft planning documents for internal use.
  • Support the PM in communication of planning and organization of the team. 

Operational logistic, programmatic and administrative documents

  • Ensure drafting all logistic documents upon line manager request and in respect with SI formats
  • Ensure drafting all programmatic documents upon line manager request and in respect with SI formats
  • Ensure drafting all administrative documents upon line manager request and in respect with SI formats

Archiving

  • Contribute to the security of programme archives
  • Archive program documents according SI protocol and alert the line manager is any irregularity is noted
  • Support in the preparation of audits and sending archives to HQ

Reporting/communication/representation

  • Immediately report any problems or information that could affect the projects/activities or the security of the teams to the program manager
  • Represent SI in collaboration with the program manager and projects/activities to the relevant bodies: local NGOs, clusters, coordination forum etc.
  • Upon request of the line manager, assist to meeting and ensure the meeting minutes.

متطلبات الوظيفة

Studies: Diploma or bachelor’s degree (or same level of studies), in English, secretary, communication or similar fields.

Experience: 2 years’ experience in secretariat, program management or experience in similar position is an asset, preferably in the humanitarian or development sector.

Languages: Fluent in English and Arabic, writing, reading, understanding, and speaking.

Skills:

  • Knowledge in project management, translation and interpretariat field
  • Knowledge in team organization
  • Strong organization skills
  • Knowledge and experience in photography and videos.
  • Experiences in communication
  • Understanding of community-based and gender-sensitive approaches
  • Willingness to work in the field
  • Very good communication skills with a wide range of stakeholders
  • Teamwork spirit and ability to work effectively under pressure
