Projects Assistant
The British Consulate General in Jerusalem is seeking an individual for the position of Projects Assistant (3 days/week) starting in February 2014.
Purpose of the job:
The successful candidate will provide support to the British Consulate Project Officer on UK Conflict Pool funded projects. This challenging role will involve the day-to-day administration of project funds, assistance with the identification and monitoring of projects and help with the evaluation of programmes.
The Conflict Pool (CP) supports activities that seek to reduce the number of people around the world whose lives are, or might be, affected by violent conflict. The Pool funds discretionary conflict prevention, stabilisation and peacekeeping activities. It focuses on tackling threats at source in high-risk and fragile and conflict-affected countries where UK interests are most at stake and where the UK can have an impact.
Duties and Responsibilities:
Liaising with implementers and the public (20%)
Sending out forms, guidance on reporting requirements, and deadlines to partners once contracts are signed, and quarterly thereafter;
Working with implementers to send their reports, receipts etc and keeping an effective audit trail.
Answering requests for project information from potential implementers.
Representing the Consulate at events, conferences, meetings.
Scheduling/arranging meetings, project visits etc
Project Administration (25%)
Preparing and coordinating signature of contracts and financial information codes.
Filing & maintaining database of project documents.
Preparing and updating monthly spend forecast and financial returns.
Coordinating payments to implementers via the FCO’s online accountancy system.
Assist with collating quarterly reporting.
Writing up minutes of project & programme boards, recording decisions and action items
Preparing meeting materials.
Building Coordination (15%)
Liaising with other UK government departments on CP related activities.
Ensuring guidance and templates are up to date.
Updating CP information on Consulate website
Write business cases and coordinate procurement processes
Essential Skills:
Creative, energetic and self-motivated individual.
Strong customer focus skills, good understanding of socio-political situation in the OPTs.
Strong team working skills.
Understanding of financial procedures.
Computer literate.
Proficient communicator in Arabic and English.
