Projects Coordinator
The A.M. Qattan Foundation is seeking to recruit a highly motivated individual for the position of Projects Coordinator to work within the “Visual Arts: A Flourishing Field” (VAFF) project, an A. M. Qattan Foundation project managed by the Foundation’s Culture and Arts Programme and funded by the General Consulate of Sweden/Development Cooperation Section. The description of this position is as follows:
Position Title: Projects Coordinator
Position Type: Fixed-term contract for 4 years
Work Location: Ramallah
Line of Responsibility: The Project Manager
Job Objectives:
To coordinate all administrative aspects of the VAFF project in close collaboration with the project manager and relevant staff, in order to achieve the desired results and greatest impact of the project.
To provide logistical and administrative support to the Project Manager, carrying out all planned activities in an effective and timely manner and ensuring that project implementation is according to the milestones set out in the approved action plan.
To build knowledge of the Foundation’s vision, mission, values, objectives and procedures, and of the VAFF project objectives, work scope and methodology, and domain of interventions.
Detailed Tasks & Responsibilities:
Coordinate the process of developing the annual work plans and budget for VAFF.
Coordinate the process of preparing all VAFF communications materials — including publications, advertising, publicity, newsletters, website and media materials, in close coordination with the VAFF manager and relevant staff and partners.
Coordinate and follow up procurement-related activities for VAFF in collaboration with the relevant staff.
Receive and process all applications submitted to VAFF, ensure timely taking of decisions and convey the outcomes to all relevant partners.
Assist in preparing VAFF agreements and letters through close interaction with the project’s relevant staff.
Provide logistical and administrative support in events organized by VAFF, including meetings, workshops and field visits; take meeting minutes (where applicable), photographs, and prepare relevant reports.
In coordination with the project manager and accountant, issue payment requests for the project’s different expenditures.
Represent the project and its activities in a positive and professional manner.
Follow-up with VAFF’s beneficiaries and partners to ensure timely and complete gathering of all necessary information and materials for the project’s narrative reports.
Ensure that all VAFF data bases are updated and classified in an easily accessible form, both electronically and in hard copies where needed.
Ensure that all work related records and materials are archived and filed in an easily accessible, safe and well classified form, both electronically and in hard copies where needed.
Any other work-related tasks.
Skills/Qualifications:
1-University degree in cultural management, business administration, or any related field in the human sciences.
2-At least 5 years of work experience in cultural administration or other relevant field.
3-Interest and knowledge of the arts and culture scene in Palestine, and the region at large.
4-Excellent Arabic and English language skills both spoken and written.
5-Proven record in report writing in both Arabic and English.
6-Excellent knowledge and command of Microsoft Office computer programs.
7-High communication and networking skills, and the ability to work efficiently within a team.
8-Excellent time management skills and ability to attend to details.
