Mercy Corps is a non-profit, non-aligned, secular non-governmental (NGO) humanitarian relief and development organization, registered in the United States and Scotland with offices in more than 40 countries around the world, including the West Bank and Gaza, where we the organization has been active in implementation of relief and development programs for nearly a decade. Mercy Corps ‘WB / Gaza’ has staff based in East Jerusalem and Gaza City offices which implement programs through the Palestinian territories.
PROGRAM/DEPARTMENT SUMMARY:
Mercy Corps is currently implementing emergency relief programs for the benefit of Palestinian people living in the Gaza Strip, including the provision of emergency food and non-food packages to needy families. This position will support these ongoing programs, and also multi funded jobs program which aims to provide temporary employment opportunities to individuals from vulnerable families, and also the provision of much needed services to the broader community such as cleaning and light rehabilitation of public spaces.
ESSENTIAL JOB FUNCTIONS:
-Monitoring of all visitors to the office; assistance to visitors by providing directions and accurate information related to MC.
-Operation and management of the telephone switchboard in accordance with appropriate protocol.
-Places, receives and routes a high volume of calls through an electric switchboard. Supplies information to callers relays messages.
-Assist in preparation for meeting in Video Conference Room and keep its facilities prepared for all meetings.
-Weekly check and test all lines.
-Maintenance of recording information in the system, solution of minor technical problems, and reporting to telephone service provider for regular maintenance and repair.
-Management and planning of the front desk coverage.
-Collection and update of MC staff information on a monthly basis, ensuring all data and information is correct and accurate.
-Monitor MC staff members leaves (Annual, Sick).
-Assist staff in performing clerical work.
-Keep a long of security related actions and occurrences, report immediately to the MC admin. officer all incidents that required action. In case of emergencies; accident, fire, threat.
-General administrative work (i.e. photocopying, sending faxes, etc)
-Perform general administrative duties.
-Other duties as assigned.

REPORTS DIRECTLY TO: Administration &Human Resources Manager
WORKS DIRECTLY WITH: N/A
KNOWLEDGE AND EXPERIENCE:
This position requires demonstrated experience and skill in administrative & communication support, basic office management, excellent verbal and written communication skills in both Arabic and English, ability to multitask and prioritize work efficiently. The position requires a person who is adaptable and able to work under difficult or stressful conditions. Credentials and relevant experience required for the position are as follows:
-Diploma or BA University degree or any related field, with minor in administrative is preferable;
-Excellent organizational skills; accurate and detailed worker;
-Understanding of and experience with office administration and management
-Good written and verbal English language skills, and ability to prepare written reports in English for management;
-Arabic fluency essential;
-Ability to work simultaneously on multiple tasks;
-Willingness and ability to work effectively with a wide variety of people;
-Ability to work as a part of a team and coordinate with project personnel;
-Ability to work with people from different backgrounds and nationalities;
-Experience working with NGO with a relative position;
-Possess or acquire a good understanding of local and national political and security issues.
