Netherlands Representative Office Ramallah (NRO)
The Person
We are looking for a dynamic person who is capable of handling a substantial workload in supporting a large number of colleagues within the NRO. He/she will act as first point of contact for the Head of Mission as well as administrative liaison between the various parties involved in the Development Cooperation programme (Head of Development Cooperation, Policy Officers, Finance Officers and counterparts).
He/she has extensive experience in an (administrative) supporting role and managing complex adminstrative processes, as well as working experience in an international organisation. He/she is a native Arabic speaker with excellent spoken and written English, who has good communication, and interpersonal skills, is proactive, results-oriented, meticulous and stress resilient. Some knowledge of the Dutch language is an advantage. He/she is capable of representing and working on behalf of a third country (the Netherlands).
The preferred candidate is an excellent planner/organiser and has experience in use of Microsoft Office and other (project) software.
The Tasks
Support to the Head of Mission (40%):
-Act as first point of contact with the internal organisation and external enviroment;
-Mailbox and calendar management;
-Provide content, administrative, logistical and organisational support (official visits, missions, seminars, working visits etc..);
-Drafting of reports, minutes, translations and documents (correspondence, expense statements etc..).
Support to the Development Cooperation Section (40%):
-Act as adminstrative liasion within (and between) the internal organisation and external partners;
-Registering, pre-appraising, routing and monitoring of project prosposals, project appraisals, project reports etc..;
-Drafting internal memos and correspondence;
-Answering general and project related questions from external parties;
-Preparation of field visits;
-Preparation of development cooperation staff meetings and minutes.
Other (20%):
-To replace colleagues in the general affairs department during their absence;
-To answer queries from members of the public and provide information about the Netherlands as requested;
-To assist in office events and office affairs.
Education
Bachelors degree or equivalent.
Working environment
The NRO is a medium sized diplomatic mission with 8 expat staff and 7 local staff. We believe in team work, open communication and a flexible approach.
Conditions
This is a position for two years with the possibility of extension on the basis of a 37.5 hours working week from Monday to Friday. Salary will be based on experience and background. The preferred starting date is mid March.
