MSF-Belgium is currently seeking to hire a SUPERVISOR MEDICAL DATA ENTRY
Main Purpose:
Ensure completion of all activities related to medical data entry and data management into the mission database. Supervise, organize and plan the activity of Data Entry officers/operators, as well as identify their training needs in order to provide a good service support and reliability of the data collected.
Accountabilities:
- Supervise, organise and plan the activity of Data Entry officers to have a reliable record of medical activity performed, as well as identify their training/technical support needs in order to provide a good service support and reliability of the data collected.
- Ensure collation and entry of all data identified by project managers for collection (e.g. morbidity, mortality, surveillance of diseases of epidemics, nutrition, psychological and women’s health, etc) into the appropriate data management system while ensuring quality of data
- Do quality control data officers’ performance on regular basis
- Know and ensure proper use of software used for recording (i.e. Fuchia, Epi Info, etc.).
- Ensure accuracy of the medical data entered into the mission’s database on a regular basis, according to MSF protocols and carry out regular back-ups.
- Provide technical support to data entry officers/operators in project sites and give response to their training needs.
- Provide regular statistical reports for the medical team as well as informing the superior of any missing information, major changes or big differences in data.
MSF Section/Context Specific Accountabilities:
- Data Collection, Centralization, and Analysis:
- Collect weekly data from all hospital services.
- Ensure data quality by verifying completeness and relevance in patient folders and databases, correcting encoding errors, and checking formulas or automatic analyses in operational databases.
- Centralize all collected data into a single, unified database.
- Update specific and transversal indicators regularly, providing analysis of the current hospital situation.
- Support for the Medical Team:
- Provide technical and scientific support to the medical team regarding data collection, database management, and the use of Excel files when necessary.
- Continuously evaluate and adjust the data collection process, identifying gaps or weaknesses in the system.
- Adapt data collection methods and information sources based on evolving medical needs.
- Regularly assess and revise indicators in close collaboration with the medical team to ensure they reflect current priorities.
- Maintain, modify, and create databases as needed to support medical operations.
- Reporting and Feedback:
- Regularly update documentation detailing the data collection process, reflecting any changes in organization, encoded data, indicators, or data confidentiality risks.
- Provide weekly feedback to supervisors on data trends, issues, and progress.
- Meetings and Collaboration:
- Actively participate in weekly medical meetings, providing feedback on service-specific activities and overall hospital operations.
- Attend additional meetings as needed with MSF coordination teams and external health partners to share insights and updates.
- Team Supervision:
- Supervise the data encoder position, ensuring accuracy and timeliness in data entry.
- Oversee any additional data encoder or data officer positions that may be recruited in the future.
- Other Duties:
- Perform other tasks related to data management as required by the medical or coordination team.

Education:
- Essential proven computer literacy, secondary education or qualifications either in administration, data entry or in statistics.
- Degree in Information and Technology (IT) desirable
Experience:
- Essential working experience with Data Management or Epidemiology.
- Preferable working experience with MSF.
- Preferable medical background.
Languages: English and Arabic essential.
Knowledge:
- Advanced knowledge of use of computer including processing of documents (Pack office: Word, Excel, Power point).
- Desirable knowledge on medical statistics databases.
