THE JOB
Under the responsibility of the Field Coordinator, the Support Services Officer will ensure Ramallah office management for all issues related to administrative, human resources, financial and logistics.
To ensure that the country’s legal framework is respected and that the administrative framework defined by head office and the rules specific to the programme are applied, with the constant aim of defending the association’s interests and ensuring the correct utilization of resources.
RESPONSIBILITIES
Responsibility 1: Administrative and HR management
-Ensure that the formalities required by local legal laws & institutions are completed on time
-Responsible for the follow up of staff visas, work permits
-Support the management of HI Human Resources in West Bank
Responsibility 2: Logistics management
-Responsible for all stages of procurement
-Manage the supply of materials/ services for HI premises & projects in the West Bank
-Fleet management and management of staff movements
-Ensure proper follow up of equipment and management of stock
Responsibility 3: Financial management
-Ensure management of the financial resources (budget, cash flow management, accountancy, partner financial follow up)
-Ensure that all contractual documents existing are followed up on and consequently archived and circulated to the coordination office.
Other responsibilities:
-Support the Security Focal Point in monitoring security situation and maintaining communication with the field
-Ensure the proper filing of all documents
-Any other tasks required by the line manager or needed for the running of the projects.
THE SUCCESSFUL CANDIDATE
-Must have a Bachelor degree in Accounting, Business Administration or any other relevant field.
-At least 5 years’ experience in similar positions with International NGO’s preferable.
-Advanced understanding of the accounting, financial, and logistics processes.
-Advanced Excel skills, ability to work with lookups and pivot tables.
-Have a flare for numbers, work well with people, efficiently anticipate impacts of workload/issues to team deadlines and have a very positive work attitude including willing to work some longer hours during peak periods.
-Excellent communication skills are essential to ensure cohesion with other colleagues and partner staff.
-Excellent command of English (written and spoken)
-Must have valid driving license
Initial contract will be for a period of one year with extension possibility and the position is based in Ramallah.
