Job ID/Title :150 - Project Assistant - Emergency Medical Relief Initiative (EMRI)

Background:
UNDP/PAPP, in cooperation with the Ministry of Health will be implementing and supporting an Emergency Medical Relief Initiative Project for the Public Health Facilities (EMRI) funded by the Government of Japan.  
 
The principle aim of the project is to improve Health care services and facilities and enhance the capacities of public hospitals in the West Bank and Gaza Strip, through the rehabilitation/construction, equipping and furnishing of 3 selected hospitals in Jenin, Tulkarem, and Qalqelia. In addition to the construction of the facilities, the project will supply medical equipment and ambulances to benefit a larger group of general population.
Description of Responsibilities:
  • Under the direct supervision of the Project Manager, the Project Assistant is expected to:
  •  Establishes and maintains filing system for EMRI Project.
  •  Performs a variety of administrative functions which include but are not limited to: typing, word processing, drafting routine correspondence, transcribing, monitoring project manager’s schedule and making appointments, arrange for project’s team meetings.
  • Provide project administration and management support to the Project Manager and Project Team in their daily tasks. This includes but is not limited to: preparation of requisitions, purchase orders, payments, vouchers and vendors, drafting letters and faxes in English and Arabic, copying, filing, editing, and formatting computer documents, central record keeping, data input and UNDP/PAPP systems follow-up and processing.
  •  Organizes meetings and workshops.
  •  Takes minutes of meetings when needed.
  •  Draft, edit and distribute minutes for the Project Executive Group and Project Team meetings
  •  Ensure prompt compiling, copying and distribution of all project reports
  •  Provides information to the public, local stakeholders and others as needed
  •  Liaise with counterparts and project staff to facilitate project requirements.
  •  Liaise with the counterparts administrative managers on all issues related to the project.
  •  Draft and prepare reports reflecting a high standard of English and proficiency in Word and Excel computer applications.
  •   Review incoming operational and financial reports in terms of completeness and formal correctness in cooperation with the project manager.
  •  Maintain and update UNDP reporting schemes and matrices.Supervise the delivery and isntallation of delivered medical equipments.
  • Supervise the delivery and isntallation of delivered medical equipments.
  • Verify the equipment received as per the specifications.
  • Performs other duties as required.

Qualifications :
EDUCATION/TRAINING
High School Diploma is required.
Bachelors of Business Adminsitration or related field is an asset.
Bachelors of Science in Bio Medical Engineer is an asset.
Training in Office Management desired.
 
EXPERIENCE
Three to five years office experience.
Previous employment with a development or humanitarian aid agency is desired
Knowledge of the MOH system/Bio Medical Engineering Department & Capacities are desired.
