The Palestinian Electricity Transmission Ltd. (PETL) Company invites applications from eligible candidates for the following position:
General Manager Office Secretary
Position Ref. #: (GMS/GMD/2016-01)
Duration of Assignment: 4 months, ends Nov. 30, 2016 with opportunity of extension.
Roles and Responsibilities:
-Manages and maintains a consistent administrative work flow for GM office and all other secretarial issues.
-Coordinates with other departments for the preparation and submittal of miscellaneous reports to the GM in a timely manner.
-Obtains clarifications wherever gaps or differences are observed, entering data in required formats and printing the desired analysis reports to ensure that the miscellaneous reports required by the GM on Company’s operational aspects are prepared in time and are accurate.
-Arranges meetings and schedules appointments for the GM, notifies participants and prepares all necessary materials for these meetings.
-Assists the GMin keeping the BOD regularly informed and updated on key developments, issues status, programs and progress of PETL.
-Records and transcribes minutes of meetings, hearings, dictation, dialogue, etc., and produces documentations in draft and final format.
-Maintains important calls to respond to inquiries and informs the GM when needed.
-Monitors the coordination of high level guest’s reception toGM office, determines visit purpose and provides advice to GM.
-Manages communication activities of incoming and outgoing mail at GM office and guides to make the necessary arrangements.
-Reviews incoming correspondence, initiates replies as appropriate, routes matters requiring action by staff, and follows up to ensure actions are completed.
-Perform other clerical duties such as filing, photocopying, collating, faxing etc.
-Performs other duties and tasks as assigned.
Qualifications:
-Secretary, Office Management, or Admin. Diploma with a minimum of 2 years’ experience.
-Excellent in oral and written communications skills.
-Excellent Microsoft Office skills (most importantly, Microsoft Word, PowerPoint and Excel)
-Have a good command of written and spoken Arabic and English
